More reliable order picking through recent improvements

Recently, there have been disruptions in the IT system that controls our order picking process. Two of these have had a big impact for buyers. We fully realise that this has caused a lot of inconvenience and frustration precisely during this busy trading period. We find that particularly annoying. In recent weeks, our full focus has been on identifying the causes and implementing improvements, both short- and long-term, to prevent a recurrence.

Together with our software partner, we thoroughly analysed both disruptions and took immediate action. We concluded that there was instability in the IT system driving our order picking process. For that reason, we added — for monitoring purposes — 'additional logging' to check where this instability came from. Due to the 'extra logging', the system faced a peak load that caused 2 major disruptions during the period 20 February to 4 March. After identifying this cause, this additional monitoring was immediately removed, and we immediately took measures that would provide both short-term stability and long-term robust infrastructure.

Server separation
Last week, we took an important step that contributed to a robust infrastructure. We have separated the server running the databases for the order picking system. This was a server for all RFH hubs and in case of any failure of that server, it led to failure on all hubs. A separate server behind the database has now been set up for Rijnsburg & Naaldwijk and one for Aalsmeer. This ensures better load distribution, more stability in peak times and a future-proof basis for further growth. We also expanded server capacity to better handle peak loads. The measures taken have been successfully implemented and noticeably contribute to speed in order picking and a more stable service.

Intensive monitoring
In addition to these measures, there is intensified monitoring of system load and data processing. During this peak period, there is a standby team on the floor daily. Our colleagues and IT partner are present every morning during start-up to intervene immediately when necessary. 

Ready for the future
Stability and reliability are paramount. Not only in this busy trading period, but also looking to the future where we want to expand order picking at our hub in Aalsmeer. We have taken targeted measures to make the system robust and prevent recurrence. Even when more volume passes through our systems later on Thanks to all the improvements made and the stable IT base, there is now strong confidence to further scale up order picking in Aalsmeer in the coming period.
